Digital workspace – flexible reporting and master data management for maximum transparency

For our customer in the medical technology sector, SPIE AUTOMATION developed a digital workspace that serves as a central platform for dashboards, reports, master data management, and an electronic Device History Record. The platform is aimed in particular at the R department and will be continuously expanded with new modules in the future. With this solution, end users can create and use reports and analyses flexibly on their own, while master data management is made more efficient and error-free at the same time.

Challenge and Objective

The customer’s initial situation was characterized by rigid processes and limited flexibility. Reports were only available in a fixed format and had to be changed for every adjustment via an external service provider—an approach that caused high costs and significant time losses. At the same time, master data was maintained manually in Excel files, which was not only time-consuming but also led to incorrect entries and made analysis more difficult. The goal was to develop a modern software solution that enables users to create and adapt reports and dashboards independently, while ensuring easy use without technical prior knowledge and fully digitizing and automating master data management.

Solution

Implementation was carried out by SPIE AUTOMATION’s software development department in close coordination with the customer. Based on a requirements specification, a functional specification was created, the requirements were analyzed, and a function-oriented prototype was developed. Building on this, a robust software architecture was created and then implemented step by step. During development, secure authentication via LDAP and JWT tokens was implemented, a report viewer and designer as well as a dashboard viewer and designer were integrated, and flexible filter logic for the data sources was developed. Regular coordination with the customer ensured that feedback was incorporated directly and the solution could be continuously optimized. After the successful implementation of the dashboard and report modules, further development cycles followed in which the master data management and eDHR modules were implemented. Particular challenges arose from the enormous volume of data in the customer database, which required high performance. Equally important was designing a user interface that is intuitive to use both for users who create reports and dashboards and for viewers only. In addition, the master data process had to be redefined and implemented technically so that data is automatically linked and kept up to date.

This reduces costs, saves time, and ensures significantly greater independence from external service providers. Master data is managed centrally, in a structured way, and without errors, which considerably improves quality and the ability to analyze it. Overall, the digital workspace delivers noticeably higher efficiency, greater transparency, and future-proofing in day-to-day work—and thanks to its modular architecture, it will be continuously expanded with new functions and modules in the future.
